Requirement

Vegan Camp Out is the world's largest vegan camping festival and has also been voted as the UK’s best Vegan Festival.

Attracting more than 15,000 people over 4 days, the event has an impressive line-up of talks, music, afterparties, activism, yoga, fitness and family activities.

Boasting a top line-up of professional speakers, broadcasters,  musicians, chefs and entertainers including Romesh Raganathan, Sam Ryder,  Bosh! and Gaz Oakley, the impressive choice of entertainment suits all ages and interests.

Since the very first Vegan Camp Out in 2016, its popularity has exploded, with attendees increasing from 400 to over 15,000 in 2023. Guests now come from over 40 countries, highlighting the global reach of the event.

Its growing success has led to the subsequent expansion of the event site. An increase in acts and presenters means an increase in the number of stages required each year.  In 2023 the site had grown to host 7 event stages.

Henley Theatre Services was asked to provide the staging solution and technical equipment for all 7 stages, complete with site design, installation and de-rig, to take the pressure off the production team and ensure that the stages were fit for purpose:

  • 7 different event stages
  • Ground support climbing truss structures for the Main and Music Stages
  • Lighting, sound  and Video,for each stage, a full technical team to build-up, breakdown and operation

The Set-up/Solution

Henley Theatre Services started by understanding the logistics of the event. Working with the event producers, we discussed:

  • The event site map
  • Which headline acts would be on each stage and expected audience sizes based on terms of popularity
  • Noise restrictions for the site and how sound from one stage may affect others
  • Sound, lighting, video, control and power requirements for each stage
  • Project timescales for access to the site, installation and de-rig

Once the brief was fully understood we could design a plan for the size and structure, required PA specification, and Size of the LED screen and lighting rig for each stage.  This plan was then reviewed with the production team for sign-off.

Resource allocation, technical equipment specification and allocation could then be scheduled, with testing and preparation carried out before the installation phase began.

During the build, live event and de-rig phases, a project manager was assigned as the main point of contact between the Vegan Camp Out production team and Henley Theatre Services team to ensure clear communication between the teams.

 

Show time

We installed:

  • Truss structures (2x 12mx8m Truss grids) PA Towers
  • A comprehensive moving light package for the main and music stages using lights from Robe, Astera and High End Systems with smaller static lighting for the other stages
  • Avolites lighting control
  • Sound
  • PA comprising: 24x EV X2 Advance line array modules, 16x EV X12 dual 18” subs for the main stage complete with stage monitoring.
  • 24x EV XLD Line array modules with 10x EV X-Sub dual 18” subs for the music stage
  • Allen & Heath live control  systems
  • Video
  • 8m x 4m Chauvet 4IP LED Screen deployed on the main stage with black Magic ATEM and Avolites Q3 Media Servers for control complete with Sony Camera package for IMAG
  • 4m x 2m  Chauvet 4IP LED Screen deployed on the Activism Stage

The result was the successful installation of all 7 stages with accompanying technical equipment, within timescales and to an impressive standard. Our set-up provided Vegan Camp Out with the perfect stages to allow each act to immerse their audiences without conflict between noise or space.

The technical design and set-up meant the 15,000 guests could choose their individually tailored experiences, creating a great ambiance, happy vibes and great feedback from the event.
